What is Ersilia?
What does Ersilia do?
Ersilia detects scope creep in your freelance and agency projects. You log client communications against a project, or let the WhatsApp Business integration deliver them automatically, and Ersilia checks each request against the original agreement. Anything expanding beyond what was agreed is flagged, with a suggested amount to charge and a drafted response, so the extra work becomes legitimate revenue.
What is scope creep?
Scope creep is when a client gradually requests more work than what was originally agreed and paid for. Examples include adding new features mid-project, requesting revisions beyond the agreed number, asking for work outside the project brief, or extending timelines without adjusting the budget. Scope creep is one of the leading causes of unprofitable projects for freelancers and agencies.
Who is Ersilia for?
Ersilia is built for freelancers, independent contractors, and small agencies who work on project-based or retainer engagements with clients. It's especially useful for web developers, designers, copywriters, consultants, and any knowledge worker who bills clients for their time or deliverables.
How is Ersilia different from a project management tool?

Getting Started
How do I get started with Ersilia?
Sign up at ersilia.ai, create your first project, add your client, and start logging communications. Ersilia will begin analysing your project conversations and alert you when it detects signs of scope creep. The onboarding checklist inside the dashboard walks you through each step.
How do I create a project in Ersilia?
From your dashboard, click 'New Project', enter your project name, description, client, budget, hourly rate, and deadline. Once created, you can log client communications directly in the project view and Ersilia will monitor them for scope creep.
How do I add a client?
Go to the Clients section from the sidebar, click 'Add Client', and enter the client's name, email, company, and any notes. You can then associate projects with that client for organised tracking.
What information should I log in Ersilia?
Log any communication where the client is describing what they want: emails, Slack messages, meeting notes, call summaries, or brief changes. The more context you give Ersilia about what clients are asking for, the more accurately it can detect when requests go beyond the original scope.
Scope Creep Detection
How does Ersilia detect scope creep?
Ersilia uses AI to analyse your project communications against the original project brief. It looks for language patterns that indicate new requests, additional features, timeline extensions, or work outside the agreed deliverables. When it detects a potential scope issue, it creates an alert with a suggested response and an estimated upsell amount.
What triggers a scope creep alert?
Alerts are triggered when Ersilia's AI detects that a client communication contains requests that appear to be outside the original project scope. Common triggers include phrases like 'can you also add', 'one more thing', 'while you're at it', requests for features not in the original brief, or asks that significantly increase the estimated work.
How accurate is the scope creep detection?
Ersilia's detection improves with more context. Providing a detailed project description and logging communications consistently gives the AI more to work with. Alerts include a priority level (low, medium, high) and a reason explaining why it was flagged, so you can quickly judge whether the alert is relevant.
What does a scope creep alert include?
Each alert includes: the specific text that triggered it, the reason it was flagged as scope creep, a priority level, a suggested upsell amount based on the estimated extra work, and a suggested response you can use or adapt when talking to your client.
Can I dismiss or mark alerts as reviewed?
Yes. Every alert can be marked as reviewed, converted (meaning you successfully billed for it), or dismissed. This helps you track which scope creep issues you've addressed and builds a record of additional revenue you've captured.
Notifications and Integrations
How do I get notified about scope creep alerts?
Ersilia supports notifications via email, SMS, Slack, Discord, Telegram, Zapier, and WhatsApp. You can configure your notification preferences in the Integrations section of the app. Each integration takes a few minutes to set up and can be enabled or disabled at any time.
How do I connect Slack to Ersilia?
Go to Integrations, find the Slack card, click Configure, and enter your Slack Incoming Webhook URL. To get this URL, open Slack, go to your workspace Apps settings, add the Incoming Webhooks app, and copy the webhook URL for the channel you want alerts sent to.
How do I connect Discord to Ersilia?
Go to Integrations, find the Discord card, click Configure, and enter your Discord Webhook URL. To create a webhook in Discord, open your server settings, go to Integrations, click Webhooks, create a new webhook for the channel you want, and copy the URL.
How do I set up email notifications?
Email notifications are enabled by default using the email address on your Ersilia account. You can toggle them on or off in your notification settings under Profile. Each scope creep alert will be sent as an email with the full alert details.
How do I connect Zapier to Ersilia?
Go to Integrations, find the Zapier card, and enter your Zapier Webhook URL. In Zapier, create a new Zap using the Webhooks by Zapier trigger (catch hook), copy the webhook URL it provides, and paste it into Ersilia. This lets you route alerts to any of Zapier's 5,000+ connected apps.
Does Ersilia integrate with project management tools?
Yes. Ersilia sends alerts directly to Asana, Trello, Notion, Linear, ClickUp, Monday, Jira, Basecamp, Todoist, Toggl, GitHub, HubSpot, Microsoft Teams, Google Sheets and Google Calendar, plus 5,000+ apps via Zapier. These are outbound alert deliveries; two-way sync is on the roadmap.
Projects and Clients
How many projects can I create?
The Pro plan ($4/month) includes unlimited projects. During the free trial, you can create up to 3 projects. You can view your current plan and usage in the Billing section.
How do I track revenue from scope creep alerts?
When you mark an alert as 'converted', Ersilia records the upsell amount and adds it to your project revenue tracking. The Analytics section shows your total captured revenue across all projects and a breakdown by alert status.
Can I set a project budget and track it?
Yes. When creating or editing a project, you can set a budget and hourly rate. Ersilia uses these values to calculate estimated upsell amounts when scope creep is detected, giving you a realistic figure to use in client conversations.
Can I manage multiple clients?
Yes. You can add unlimited clients in the Clients section and associate each project with a specific client. Client records include contact details, company name, and notes.
Billing and Plans
What plans does Ersilia offer?
Ersilia offers one simple plan: Pro at $4/month, or $40/year (about $3.33/month), with unlimited projects. All features are included - scope creep detection, notifications, all integrations, and analytics.
Is there a free trial?
Yes - a 7-day free trial. You can sign up and start detecting scope creep immediately, with no credit card. The trial covers up to 3 projects and a subset of integrations; Pro adds unlimited projects and all 21 connected apps.
How do I upgrade my plan?
Go to Billing in your account settings and select the plan you want to upgrade to. You'll be taken to a secure Stripe checkout to complete the upgrade. Your new plan is active immediately after payment.
How do I cancel my subscription?
Go to Billing and click 'Manage Subscription'. This opens the Stripe customer portal where you can cancel your subscription. You'll retain access until the end of your current billing period.
Is my payment information secure?
Yes. Ersilia uses Stripe for all payment processing. Your card details are never stored on Ersilia's servers. Stripe is PCI DSS Level 1 certified, the highest level of payment security certification.
Privacy and Security
Is my client data safe?
Yes. All data is stored in a secure Supabase PostgreSQL database with Row-Level Security (RLS) enabled, meaning each user can only access their own data. All data is encrypted in transit and at rest. We never sell your data, and it is processed only by the service providers needed to run Ersilia - such as Supabase for the database and Google Gemini for scope analysis - each named in our Privacy Policy.
Does Ersilia use my data to train AI models?
No. Your project and client data is used solely to power your own scope creep detection. It is not used to train AI models or shared with other users.
How can I export or delete my data?
You can export all your data at any time from Settings under the Data section. To delete your account and all associated data, go to Settings and use the Delete Account option. Deletion is immediate and permanent, in accordance with GDPR - export anything you want to keep first.
Is Ersilia GDPR compliant?
Yes. Ersilia is built with GDPR compliance in mind. You have the right to access, export, correct, and delete your personal data at any time. See our Privacy Policy and Data Processing Agreement for full details.
